About the job

Assistant Project Manager, High-End Custom Homes Burlingame, CA · Reports to the Project Manager (day to day)

About the Opportunity

A high-end custom home builder on the San Francisco Peninsula is hiring an Assistant Project Manager. This is a company that hires, reviews, and promotes against its values, starting with quality craftsmanship, integrity, and collaboration. Skills can be taught; values can’t. The seat comes with a defined path to Project Manager.

Role Summary

You keep the project’s information, paperwork, and money moving so the PM can lead. You work closely with the Site Superintendent, Contracts Administrator, Accounting, the design team, and subs and vendors, while learning to run a project end to end.

Key Outcomes

Submittals and RFIs that keep moving. They’re prepared, routed, and resolved in Procore, with no more than two open past 14 days.

Every material order right the first time. Each order is confirmed with a written read-back (item, finish, quantity), and lead times are tracked against the submittal schedule.

A project record the team can trust. Meeting minutes, the decisions log, and project records stay organized, and the change order log is updated every week.

A schedule the field can count on. You build the biweekly schedule update with the Superintendent and maintain the 3-week lookahead.

Clean pay apps and subs kept informed. Pay app backup is complete within 3 days of receipt, and subs get net-45 notices when complete pay apps come in.

A clean closeout. Punch lists are tracked through every phase, and closeout documents and the house manual are assembled.

What You’ll Bring

3+ years of project coordination in construction.

A college degree, trade school training, or equivalent.

Organized and detail-focused, with strong communication, math, and teamwork skills.

Proficiency in Word, Excel, and email. The team works in Procore, ProContractor, and Smartsheet.

Path to Project Manager

You’re ready for PM when you’ve run OAC meetings on your own for a full quarter, run the biweekly schedule cycle, prepared change orders that needed only minor edits, owned a punch list closeout, and kept your scorecard green in at least 80% of weeks for two quarters.
