The Account Operations Coordinator partners with a senior Account Executive to manage the administrative and coordination work behind active assignments and new submissions. The goal is simple: give the AE back time to sell, while making sure every assignment runs accurately and on time.

What You Will Own • Confirmations & POs . Prepare and send confirmation letters and purchase orders. Verify terms match what was negotiated and flag discrepancies early. • Scheduling. Build and maintain provider schedules with clients, including closing deal scheduling. Keep dates, extensions, and cancellations accurate in Salesforce. • Timecards and finance. Collect timecards and resolve outstanding issues with clients. Take finance and invoice questions your AE kicks off and drive them to resolution. • Credentialing tracking. Monitor outstanding credentialing items, prompt your AE when a response is needed, and push follow-up through to completion. • Listings, MSP intake, and matching. Enter and update job listings, process new MSP/VMS requests, and pull provider matches for open listings. • MSP/VMS candidate submissions. Build accurate, candidate-specific profiles and presentations. Confirm every CV matches its write-up before it goes out. • Interviews and sendouts. Schedule interviews, send invites and candidate details, and track outcomes so the pipeline keeps moving. • Closing the loop. Own follow-up on open questions with recruiters, credentialing, finance, and the PORT team (sub status, availability, PO status, days booked) so nothing sits unanswered. • PTO coverage. Step in as a knowledgeable backup when your AE is out, keeping assignments moving and handling issues so they can truly unplug

What You Bring • 1 to 3 years in a coordination, administrative, or operations role. Healthcare staffing or MSP/VMS experience is a plus. • A sharp eye for detail. You catch the mismatch before anyone else does. • Strong organization under volume and shifting priorities • Clear, professional communication with clients, providers, and internal teams • Comfort with Salesforce (or another CRM) and Excel. VMS portal experience is a plus. • An ownership mindset: you follow through without being asked

What Success Will Look Like • Your AE spends more time on client development and new business • Timecards approved on time, with fewer billing corrections • Error-free submissions, confirmations, and schedules • Credentialing items and open questions resolved faster, with nothing aging in the queue • Your AE takes PTO without working through it • Fast turnaround on MSP/VMS intake and candidate submissions
