Email to decline a job offer
Be quick, kind and short. You may want this recruiter or company again, and the way you say no is what they remember.
Subject: Thank you for the [role] offer
Hi [their first name], Thank you for offering me the [role] role at [company], and for the time you and the team spent with me. After careful thought, I have decided not to accept. It was not the right fit for me at this time. This was a hard decision because I was impressed by the team. I hope our paths cross again, and I would be glad to stay in touch. Best wishes, [your name]
How to get it right
- Decline as soon as you know. Others are waiting, and a fast no is a kindness.
- You do not owe a long explanation. One honest sentence is enough, and you can skip it.
- Thank the people who interviewed you by name if you can.
- Connect on LinkedIn afterward. The people who made the offer often move to other companies.
Questions about this template
- Do I have to give a reason?
- No. A short, honest one is fine, and leaving it out is also fine.
- Should I call instead?
- A call is a nice touch for a recruiter you know well; follow it with this email so there is a written record.
- Can I accept later if the other offer falls through?
- It is hard once you decline. If you are unsure, ask for more time instead of declining.
