This role maintains accurate AP and AR transactions and supports the Engineering team’s purchases and inventory of parts and equipment. Engineering generally selects and orders items; the Accounting Coordinator handles the related purchase order, receipt, and inventory follow-through. AP/AR deadlines take precedence. As the purchasing and inventory process develops, the role is expected to spend approximately 50% of its time on each area.
ACCOUNTS PAYABLE
• Receive, review, code, and enter vendor invoices; check accuracy and required approvals against company procedures.
• Prepare timely check, ACH, and credit card payments; investigate and resolve payment or invoice discrepancies.
• Reconcile vendor statements, account for outstanding invoices, and keep complete AP records in the accounting system.
ACCOUNTS RECEIVABLE
• Prepare and send customer invoices promptly; monitor receipts and apply payments to the correct accounts and invoices.
• Follow up on past-due balances, answer customer billing questions, and resolve disputes to collect outstanding amounts.
• Reconcile customer accounts and the general ledger; maintain accurate AR records.
PURCHASING AND INVENTORY SUPPORT
• Coordinate with Engineering on approved parts and equipment orders; enter and maintain purchase orders and track open orders and expected delivery.
• Confirm arrivals with Engineering, compare received items with purchase orders and invoices, follow up on shortages or errors, and enter received items into inventory.
• Record parts and equipment taken from inventory, maintain accurate quantities and transaction history, monitor stock levels, and flag items for replenishment to Engineering.
GENERAL RESPONSIBILITIES
• Monitor the accounting email inbox, answer phones, order office supplies, and respond helpfully to customer, vendor, and internal questions.
• Prepare AP/AR status summaries and flag issues affecting billing, payments, or cash flow; work with sales, Engineering, management, and other colleagues.
• Support related office tasks and help improve workflows, records, and use of software as processes evolve.
Success in this role: Careful records, timely follow-through, clear communication, practical problem solving, and the flexibility to contribute in a small, collaborative office.
