A highly organized operational lead who understands business requirements, can work effectively with developers, creates structure where structure is missing, and independently drives application-related work from idea through implementation without owning business decisions or technical development.
Purpose
Support the day-to-day management of ORE Intake, Escalation, and related application initiatives, including but not limited to Microsoft Power Platform solutions (e.g., Power Apps, Power Automate, and SharePoint-based processes), by keeping work organized, coordinating activities across business stakeholders and developers, testers, project leads, and helping ensure agreed business needs move from idea through implementation. Translate current-state PowerApps capabilities into future-state business requirements for eGRC planning, and serve as implementation lead to support transition.
The role is intended to provide dedicated coordination and management of application-related work so that CCP Program members can focus on prioritization, business decisions, risk management, operating model development, and future-state planning.
Key Responsibilities
Coordinate Work from Business Need Through Implementation
• Help move approved business needs through development, testing, implementation, and follow-up activities.
• Maintain visibility into work in progress, upcoming work, dependencies, decisions, and open questions.
• Help ensure activities remain aligned to agreed business objectives and priorities.
• Keep responsibilities, timing, and next steps organized and visible.
• Coordinate routine activities across stakeholders to keep work moving forward.
Backlog Prioritization & Change Coordination
• Work with business stakeholders and developers, testers, project leads to review enhancement requests, defects, design limitations, and application-related work items.
• Gather additional information and clarification when needed.
• Help organize and prioritize work based on business value, impact, urgency, risk, effort, dependencies, and available capacity.
• Coordinate with business stakeholders and the development teams to understand potential impacts, implementation considerations, dependencies, timelines, and effort estimates.
• Maintain visibility into backlog items, status, priorities, decisions, and next steps.
• Analyze competing priorities, capacity constraints, dependencies, and impacts; bring forward recommendations and unresolved prioritization decisions requiring leadership input.
Requirements & Decision Support
• Gather information and work through unclear, incomplete, conflicting, or ambiguous requests.
• Develop an initial understanding of the underlying business need and help distinguish between the requested solution and the problem being solved.
• Coordinate and facilitate discussions needed to obtain clarification, evaluate impacts, and explore alternative approaches when the requested solution may introduce unnecessary complexity, effort, risk, testing impact, maintenance considerations, or implementation challenges.
• Help refine and clarify business needs, expected outcomes, assumptions, dependencies, design considerations, and open questions before development activities proceed.
• Document decisions, assumptions, dependencies, open questions, action items, and agreed outcomes to support a shared understanding of the work.
• Organize information so business stakeholders and the development team share a common understanding of the work.
• Bring forward recommendations, options, tradeoffs, and unresolved questions when additional business judgment is required.
Business Impact & Dependency Review
• Recognize and assess assumptions, dependencies, risks, unresolved issues, and potential impacts affecting processes, users, reporting, workflows, or related applications.
• Support impact analysis when changes may affect multiple stakeholders, applications, or business processes.
• Develop recommendations, identify options and tradeoffs, and bring forward significant impacts, dependencies, risks, or unresolved issues requiring additional review, business judgment, or decision-making.
Cross-Team Coordination
• Coordinate activities among business stakeholders and developers, testers, project leads.
• Schedule discussions, document outcomes, and track follow-up actions.
• Help ensure commitments are fulfilled and open items continue to move forward.
• Engage appropriate business, program, or development team resources when additional input is needed.
• Serve as a central coordination point for application-related work.
Change Readiness & Release Coordination
• Support change activities from development through implementation.
• Coordinate with business stakeholders and the development team regarding testing activities, business validation, readiness considerations, implementation planning, deployment needs, and participant engagement.
• Track readiness-related decisions, open items, dependencies, and unresolved questions through resolution or escalation.
• Help ensure supporting documentation, communications, and business materials are available when needed.
• Investigate, coordinate, and work through readiness concerns, risks, gaps, dependencies, and unresolved issues; bring forward matters that remain unresolved or require additional business review, judgment, or decision-making.
• Support and coordinate testing readiness and user acceptance testing (UAT) activities, including identification of testing scope, test scenarios, participants, dependencies, and follow-up actions, without owning testing execution, deployment approval, release approval, or technical sign-off.
• Promote consistent practices for requirements review, solution walkthroughs, testing preparation, business validation, readiness activities, and implementation planning.
• Identify and coordinate actions needed to address gaps in clarity, stakeholder alignment, testing preparation, documented decisions, and readiness activities, bringing forward unresolved issues or decisions requiring additional business judgment.
Documentation & Knowledge Management
• Establish and maintain inventories, status tracking, decision logs, action-item tracking, and other working materials needed to effectively manage application-related work.
• Organize information so knowledge is documented and accessible.
• Support continuous improvement of team processes and operating practices.
• Help maintain application-related documentation, guidance materials, and operating procedures.
• Identify gaps in documentation, tracking, communication, or coordination practices and recommend practical improvements.

Working Cadence & Oversight
• Operate independently for routine coordination, follow-up, documentation, backlog administration, readiness coordination, and issue management.

• Participate in a regular working session with CCP resources to review priorities, open decisions, emerging risks, significant dependencies, unresolved questions, and upcoming work.
• Work matters through established processes, discussions, and decision frameworks, bringing forward recommendations, options, impacts, tradeoffs, and unresolved issues when business judgment, prioritization guidance, process interpretation, policy interpretation, or leadership direction is required.
Required Qualifications
• 5+ years of experience supporting business operations, business analysis, application delivery, change coordination, process improvement, technology initiatives, or related functions.
• Demonstrated ability to independently organize work, identify next steps, manage follow-up activities, and advance multiple workstreams with limited day-to-day direction.
• Experience gathering, clarifying, documenting, and following through on business requirements, decisions, assumptions, action items, dependencies, and open questions.
• Demonstrated experience evaluating business needs, identifying alternative approaches, and facilitating discussions to balance business outcomes, implementation effort, operational impacts, risks, testing implications, and long-term support considerations.
• Experience coordinating work across business stakeholders and technical resources, including developers, testers, project leads, or similar delivery partners.
• Ability to analyze unclear, incomplete, conflicting, or ambiguous requests and obtain the clarification needed to support evaluation, decision-making, development, testing, or implementation.
• Strong organizational, written communication, and documentation skills, including the ability to translate technical information into clear business language.
• Proficiency with Microsoft Office products, including Excel, PowerPoint, Word, Outlook, and Teams.
Desired Qualifications
• Experience supporting Microsoft Power Platform solutions, including Power Apps, Power Automate, and SharePoint-based processes.
• Experience supporting application enhancements, defect coordination, testing preparation, implementation activities, release readiness, or business validation.
